n8n vs Zapier vs Make: which automation tool should a UAE business use?

Automation8 min readPublished 2026-10-15Updated 2026-10-15

Choose Zapier for a few simple automations with nobody technical to maintain them. Choose Make for visual, branching workflows at moderate volume. Choose n8n when volume is high, customer data must stay on your own server, or workflows need custom code. The biggest difference is how each one counts usage, which decides your bill.

Your team copies Shopify orders into Zoho Books by hand, and someone has told you to automate it. You search, and three names come up every time. Each has fans who say the others are terrible. The truth is duller: they are all good, they charge in different ways, and the right one depends on how many times a day your automations run and who will look after them.

The short answer

If this describes youStart with
Five to ten simple automations, nobody technical on the teamZapier
Workflows with many branches and conditions, moderate volumeMake
Thousands of runs a day, or many steps per runn8n
Customer data must stay on your own servern8n, self-hosted
You need custom code inside a workflown8n

We build on all three. If you have already decided on n8n and want it set up properly, see our n8n automation in Dubai service. The rest of this article explains the reasoning, so you can check it against your own situation.

How each one charges, which is what really matters

Plans and prices change, so check each vendor's pricing page before you buy (checked October 2026). What changes less is the unit each one counts, and that unit decides whether your bill stays small as you grow.

  • Zapier counts tasks. Each action step that runs successfully counts as a task. A workflow with five actions that runs 100 times a day uses about 500 tasks a day.
  • Make counts operations, or credits on newer plans. Each module that runs counts, including the trigger in many cases. Similar maths to Zapier, often at a lower price per unit.
  • n8n Cloud counts executions. One run of a whole workflow counts once, however many steps it has. Self-hosted n8n has no per-run charge at all; you pay for the server.

That last point is why businesses with long, busy workflows move to n8n. A ten-step order workflow costs ten units per order on a per-step model and one unit on a per-execution model.

Illustration: one order workflow with 8 steps, 300 orders a day
Per-step counting (tasks or operations)About 2,400 units a day, 72,000 a month
Per-execution counting (n8n Cloud)300 a day, 4,500 a month
Self-hosted n8nNo per-run cost, server and upkeep instead

Who looks after it

Zapier and Make are fully managed. You never think about servers, updates or backups. n8n Cloud is managed too. Self-hosted n8n is not: someone has to apply updates, watch disk space, back up the database and notice when it stops. For a business without a developer, that cost is real, and a care plan or an hour of your own developer's time each month should be counted in the comparison.

✓ If nobody on your team would notice that a self-hosted server had stopped, either choose a managed option or pay someone to watch it.

Where your data goes

With Zapier, Make and n8n Cloud, your order, customer and invoice data passes through the vendor's platform, under their terms and in their chosen regions. That is fine for most businesses. Clinics, finance firms, companies in free zones with their own data rules, and anyone handling sensitive personal data may prefer data that never leaves infrastructure they control. Self-hosted n8n on a server in a region you choose makes that possible. Confirm what your sector requires with your legal adviser.

What each one is best at

Zapier

The widest list of ready connections, the simplest editor, and the fastest route from idea to a working automation. Ideal when you have a handful of straightforward flows and want them running this afternoon. It gets expensive when workflows are long or busy.

Make

A visual canvas that shows the whole workflow, with routers, filters and iterators that make complex branching easier to see than in Zapier. Usually cheaper per unit. A good fit for a non-technical owner who is comfortable with diagrams.

n8n

Open and flexible. You can drop into JavaScript or Python when a visual step is not enough, self-host for cost and data control, and use built-in AI nodes to read emails, extract fields from PDFs or draft replies in the middle of a workflow. The trade-off is that it rewards having a developer, or a partner, nearby. Note that n8n uses its own fair-code licence; using it for your own business is fine, but check the terms if you plan to offer it as a service to others.

UAE workflows we see most

  • Shopify or WooCommerce order to Zoho Books invoice, with VAT at 5%.
  • Order status to a WhatsApp update for the customer.
  • Leads from the website, Instagram and portals to one sheet or CRM, deduplicated.
  • Supplier emails read by an AI step, with the fields filed automatically.
  • Morning summary of sales, stock and cash to management.

Any of the three tools can do these. If orders arrive on WhatsApp and end up in spreadsheets, read how to take WhatsApp orders without Excel first; sometimes the fix is a better process rather than a tool.

When to use none of them

If your spreadsheet is not moving data between tools but is the system itself, holding stock, orders and customer balances, an automation tool only adds a layer on top of a fragile base. That is the point to look at a proper operations system. Our guide to ERP versus Excel has a checklist, and the OpsDesk design study shows what that looks like.

A ten-minute way to decide

  1. List the automations you want, and estimate how many times a day each one runs.
  2. Count the steps in each. Multiply runs by steps to estimate monthly tasks or operations.
  3. Check that each tool connects to your apps, especially Zoho, your WhatsApp provider and any local platforms.
  4. Decide who will maintain it. If nobody, rule out self-hosting.
  5. Ask whether any of the data is sensitive enough to keep on your own server.

Questions

For high volume, long workflows, custom code or data that must stay on your server, usually yes. For a few simple flows with nobody to maintain a server, Zapier is often the better and cheaper choice overall.

The self-hosted community edition is free to use under n8n's fair-code licence, but you pay for the server and maintenance. n8n Cloud and enterprise plans are paid. Check the licence if you plan to resell it.

It depends on volume and steps. For a few short workflows, Zapier or Make plans can be cheapest. As runs and steps grow, n8n's per-execution or self-hosted model usually costs less.

All three connect to Zoho Books. WhatsApp connections usually go through the WhatsApp Business Platform or a provider's API, which all three can call. Check the specific connector before committing.

Yes, but workflows must be rebuilt, because each tool has its own format. Documenting each workflow's steps and rules makes switching much easier.

Yes. All three have AI steps that can call models such as OpenAI's or Anthropic's to read text, extract fields or draft replies. n8n also has agent nodes for multi-step AI tasks.
