Operations and new joiners
How do I raise a purchase order? Which courier for Abu Dhabi? What is the returns process? The questions that take a manager ten minutes each, twenty times a week.
Your team asks a question in English or Arabic. The assistant answers from your own procedures, price lists, contracts and policies, shows the page it used, and only shows each person what they are allowed to see.
An AI knowledge base lets staff ask questions in plain language and get answers drawn only from your company documents, with a link to the source. It respects who can see what. Ours start at AED 6,450 and take 3 to 5 weeks; larger set-ups with several departments reach about AED 17,500, excluding 5% VAT.

Most companies in the UAE already have the answers somewhere: an operations manual in a shared drive, a visa and leave policy in a PDF from 2023, supplier terms buried in email, a price list on someone's desktop. New staff ask the same questions in their first three months, and the answers come from whoever is senior and nearby. That person loses an hour a day, and the answer changes depending on who you ask. An AI knowledge base reads those documents and answers from them, in one consistent voice, at any hour. When a document is updated, the answer updates with it. When the answer is not written down anywhere, it says so, and that tells you which document to write next.
We start with one team and one set of documents. It is easier to test, and you see the value before paying for the rest.

Current price list, minimum order quantities, delivery lead times and which discount needs approval. Answered from the latest file, not last quarter's.
Leave rules, visa renewal steps, expense limits and the staff handbook, answered privately, so people ask what they would not ask a colleague.
Agents get the right policy wording while the customer is still on the line, instead of putting them on hold to ask a supervisor.
Plenty of teams already paste documents into a public chatbot. It works until someone pastes a contract they should not have, or the bot answers from the internet instead of your policy.

If your team is under ten people and the documents are not sensitive, a business plan on a mainstream chatbot with clear rules may be enough. We will say so on the call.
The technical name is retrieval-augmented generation. In plain terms: we index your documents, find the passages that match each question, and give only those passages to the language model with an instruction to answer from them.
Questions and the matching passages are sent to a model provider to produce an answer. We use providers whose business terms say your data is not used to train their models, we record those terms at the time of the build, and we send only the passages each question needs, not your whole drive. The index itself can sit in your own cloud account. If your sector has rules on where data is processed, for example healthcare or a free zone with its own data law such as DIFC or ADGM, tell us at the start and we will design around it. Confirm your obligations with your legal adviser; we configure, we do not give legal advice.
We choose one department, collect 40 to 60 real questions they get asked, and list the documents that should answer them. Gaps show up here.
Duplicate and outdated files are removed or marked, folders are mapped to roles, and the index is built in your account.
We run the question set and score every answer with your team: right, partly right, wrong, or should have refused.
Ten to fifteen people use it for real work. We review every flagged answer and fix the document or the rule behind it.
Wider access, a short guide for staff, and a named owner for each document set. Monthly review of unanswered questions follows.
It answers from what is written. If your processes live only in people's heads, write the top twenty first. We can help, but that is a different job.
Asking across the desk is faster and free. The value starts when teams grow, shift or work across locations.
It tells staff what the policy says. Approving the exception is still a manager's call. For tasks that act, see AI agents.
It will find both versions. We flag conflicts during the clean-up, but someone has to decide which one is true.
A fixed quote follows a 30-minute call and a look at your folders. Model usage is billed at cost by the provider; for a team of 30 asking a few questions a day it is usually a small monthly figure, and we estimate it before you commit.
One department, one or two document sources.
Role-based access across teams and sources.
Care from AED 395 a month covers re-indexing checks, rule changes and the monthly gap report. Prices exclude 5% VAT.
A fair view, so you do not pay for more than you need.
The assistant answers only from what you give it. If the policies are wrong or missing, fix those first or it will repeat the mistakes.
If everyone can ask the one person who knows, a shared folder with good search costs nothing and works fine.

It is a private assistant for your staff that answers questions from your own documents, such as procedures, policies, price lists and contracts. It links to the source for every answer and only shows each person documents their role allows.
Ours start at AED 6,450 for one team and take 3 to 5 weeks. Set-ups across several departments with role-based access typically reach AED 17,500. Model usage is billed at cost by the provider, and prices exclude 5% VAT.
It is similar in idea. A custom GPT inside a chatbot subscription is fine for a small team with non-sensitive files. A built knowledge base adds sign-in, role-based access, automatic updates when files change, and a log of what people ask.
Yes. It can search Arabic and English documents and answer in the language of the question. Scanned Arabic PDFs need text recognition first, which we test on a sample before quoting.
Any language model can be wrong. We limit it to the passages it retrieves, require a source with each answer, make it say when it cannot find something, and score it on your real questions before launch.
We use providers whose business terms state that your data is not used for training, and record those terms at the time of the build. Confirm any sector rules with your legal adviser.
The AI assistant faces customers on your website or WhatsApp and answers from your catalogue and policies. The knowledge base faces staff and covers internal documents, with access rules by role.
We will tell you which documents would answer them, what is missing, and what a knowledge base would cost.
