Custom ERP vs Odoo vs Zoho for a UAE business: an honest comparison

Automation9 min readPublished 2026-10-10Updated 2026-10-10

Choose Zoho Books when you mainly need VAT-ready accounting, Odoo when you need several standard modules in one place, and a custom system when your workflow fits no package. Our custom operations systems start from AED 29,500 and typically reach AED 75,000, excluding 5% VAT. Packaged tools charge licences per user instead.

You have decided Excel has to go. Now every advisor says something different: Zoho is simple, Odoo does everything, and a developer says you should build your own. All three can be right. The mistake is choosing before you know what is actually unusual about your business.

Start with the question that decides everything

Ask yourself one thing: is the way you run the business the same as most companies in your trade, or is it different in a way that makes you money? If your process is standard, buy a packaged tool and configure it. If your process is your edge, a package will fight you.

That one answer removes most of the confusion. The rest of this guide is the detail behind it, and our ERP software service in Dubai covers the custom route. If you are still deciding whether to leave spreadsheets at all, read our post on ERP vs Excel for UAE businesses first.

The three options in plain words

Zoho Books and the Zoho suite

Zoho Books is cloud accounting software. It handles invoices, bills, bank feeds, VAT returns and basic inventory. Zoho sells other apps around it, such as a CRM and a stock tool, and they connect to each other. It is quick to start and has a UAE edition aimed at 5% VAT.

Odoo

Odoo is a set of modules: sales, purchasing, inventory, accounting, manufacturing, projects, point of sale and more. You switch on the ones you need. There is a community edition and a paid enterprise edition, and it can be hosted by Odoo or by a partner. It does a lot, so setup takes real configuration work.

A custom operations system

A custom system is built around your exact workflow, with only the screens, rules and reports you use. You own the code. It costs more up front and needs a partner who stays after launch.

When Zoho Books wins

  • You are a service business, a small trader or a consultancy that needs clean invoices, expenses and a VAT return.
  • You have fewer than about ten users and no complex stock or manufacturing.
  • You want to be live in days, not months.
  • You have an accountant who already knows the tool.

In that situation a custom build would be money wasted. We will tell you so, and we can configure and import your data for a modest fee instead.

When Odoo wins

  • You need sales, stock, purchasing and accounting in one system, and your process is fairly standard for your trade.
  • You may add manufacturing, point of sale or projects later.
  • You are comfortable paying for a good implementer, because Odoo is powerful but rarely works well out of the box.
  • You like the idea of starting with the free community edition and growing.

Be careful with two things. First, licences multiply as the team grows, and the add-ons you find useful are sometimes separate. Second, a cheap implementer can leave you with a tangled setup that nobody can change. Ask to see a live system they configured, and ask what happens when they are not available.

When a custom system wins

Custom is not a status symbol. It is the right answer in a narrow set of cases:

  • Your pricing or approval rules are unusual, such as per-customer price lists, multi-step approvals or project-based costing.
  • You run retail, wholesale and field teams together and no package handles all three cleanly.
  • WhatsApp, your online store and your back office must share one record of each customer and order.
  • You want to own the code and the data, and avoid per-user licences as the team grows.
  • You have already tried a package and spent months forcing it to fit.

Our operations systems start from AED 29,500 and typically run between AED 29,500 and AED 75,000, excluding 5% VAT, over 8 to 16 weeks. The price depends on how many workflows, roles and integrations you need. To see how an operations dashboard can look, open our OpsDesk design study.

What it costs over three years

Do not compare the first invoice. Compare three years. A package looks cheap in month one, then charges per user every month. A custom system is expensive in month one, then costs a care plan.

Cost itemPackaged toolCustom system
SetupConfiguration and data import, often a fraction of the licence totalAED 29,500 to 75,000 (ours, excl. 5% VAT)
RecurringLicence per user per month, rising with headcount and add-onsCare plan from AED 395 per month (ours) plus hosting

A simple rule of thumb: if you will have more than about 15 users, the licence line on a package starts to rival a one-off build over three years. Run the numbers with real quotes. We will happily review a competitor's quote and tell you honestly which route is cheaper.

VAT and e-invoicing: check before you buy

Whatever you choose, your invoices need correct 5% VAT, valid tax registration numbers and clean customer data. The UAE is also moving to structured electronic invoicing through accredited providers, phased from 2026 to 2027, with dates depending on business size. Our post on e-invoicing for UAE small businesses explains the timeline in plain English.

Here is the part that matters for this comparison. Ask every vendor, including Zoho, Odoo and any partner, whether their product is connected to a Ministry of Finance approved e-invoicing service provider, and verify their accreditation status directly on the Ministry of Finance or Federal Tax Authority website. Do not rely on a sales page or on us. We are not an Accredited Service Provider. We build or configure the system that creates your invoices and connect it to the provider you choose.

✓ E-invoicing dates and the list of approved providers change. Confirm your own deadline and any vendor's accreditation status directly with the Ministry of Finance and the Federal Tax Authority. Last checked October 2026.

A short decision guide

  1. Write down your five most important processes, from enquiry to payment.
  2. Mark each one "standard for my trade" or "different, and that is why we win".
  3. If four or five are standard, shortlist Zoho or Odoo and get two implementation quotes.
  4. If two or more are different, ask for a custom quote, and a package quote to compare against.
  5. Ask each vendor about e-invoicing status, data export and what happens when you add users.
  6. Choose the route with the lowest three-year cost that does not make your team change the part of the business that earns money.

Where we are the wrong choice

If your needs are mostly accounting and VAT, hire a Zoho or Odoo implementer or ask your accountant. If you are under five people with no stock, stay on spreadsheets and fix your backups. We are the right call when the workflow is unusual, when WhatsApp and the online store need to share data with the back office, or when you have outgrown a package. A custom build also requires you to give us time: a few hours a week from someone who knows how the business really runs.

Questions

Not by default. Packaged tools win when your processes are standard. Custom wins when your workflow is unusual or per-user licences would become expensive. Compare three-year costs with real quotes.

Our operations systems start from AED 29,500 and typically reach AED 75,000, excluding 5% VAT, over 8 to 16 weeks. The final price depends on workflows, roles and integrations.

Often yes, if you mainly need invoicing, expenses and VAT returns. It gets thin once you need complex stock, manufacturing or custom approvals. Confirm current plan limits on Zoho's site.

We cannot confirm that for you. Verify each vendor's accreditation or provider connection directly on the Ministry of Finance and Federal Tax Authority websites before you buy.

Where a package fits, we will say so and can help with configuration and data migration. We are not an Odoo or Zoho partner and make no claim of partnership.

You do. The code, hosting accounts and domain are in your name. A care plan from AED 395 per month covers fixes and changes, and you can stop it with 30 days' notice.
